What is a Sanctioned Event?

Sanctioned Events allow the world of Concord to be explored and experienced outside of the Summit events run by The Concord team. By opening our world to you we hope that you will treat it with the same love and madness that we do. However, there are some important steps to be taken depending on the scale and complexity of your event.

Note: Sanctioned events that are a part of a larger event will not longer be approved. Examples include sanctioned events that occur at conventions or medieval faires, at other LARP events, or simmilar.

The Concord Team classifies Sanctioned Events into three categories:

Simple Sanctioned Events

Your sanctioned event is likely simple if:

  • It has less than twenty attendees.
  • Has no use of combat mechanics.
  • Is predominantly focused on socialising or sharing information.
  • Is less than twelve hours long.
  • Has no ticket price.

If your event meets these requirements, then it is a Simple Sanctioned Event. Simple Sanctioned Events do not require approval or informing the Concord team. We only ask that you give the events proper gravitas and attention.

Complex Sanctioned Events

Your sanctioned event is likely complex if:

  • It has between 20 and 75 attendees.
  • It uses combat mechanics.
  • It has its own story or story elements.
  • It is more than twelve hours long.
  • It has a ticket price.
  • You intend to have Gamenomics present at your event.

If your event has ANY of the above traits, then it is likely a Complex Sanctioned Event. Complex Sanctioned Events require Concord Team approval for the use of our setting, this allows us to ensure that your story fits within the larger framework of the world. It also allows us to ensure that the world and brand is given appropriate concern at events that might be particularly large or cost money.

To submit a Complex Sanctioned Event please email the Concord Story Team at [email protected] with the answers to the following questions:

Name of your event:

Contact Person:

Contact Email:

Contact Phone:

Number of Expected Attendees:

Location of Event OOC:

Do you want this event posted on the LARPWest calendar:

Event Summary:

Location of Event: IC

The Concord Team will look this over and work with you to correct any issues we may have. At this point we will forward your event onto LARPWest to make sure that they are aware, this will include the name of the event, contact person, and contact details. Attendees to this event will need to be LARPWest members. The event will be covered by LARPwest’s Public Liability and Personal Injury insurance.

Following your event you will need to submit an event summary to [email protected], that way we can ensure that any elements relevant to the world can be tracked and transferred to larger events.

Grand Sanctioned Event

Your sanctioned event is likely grand if:

  • It has more than 75 attendees

Grand Events are large Sanctioned Events that may have important considerations for how they will function logistically. Grand Events should be submitted as per a Complex Event. If approved, The Concord Team will liaise with LARPWest AND the Event Contact to make sure it fulfils all the requirements. The Concord team will take on a more active role in supporting the event, as  opposed to simply acting as the go-between.

Aside from this change, Grand Sanctioned events function as per Complex Sanctioned Events.

A Note About Food

If your sanctioned event is a ticketed event, it cannot include food as a part of its provided experience or as a part of its intended theme without this food being produced in accordance with the Food Act (2008) as it would be deemed at ‘Food Business.’ This means that ticketed events cannot be ‘Feasts’ or similar (this is a food theme) and food cannot be provided by the team organising the event without complying with all food handling guidelines.  For more information on these guidelines and how they interact with Concord events, please read the ‘Gamenomics Guide - Food and Drink Guidelines’.
